Your purpose will be to coordinate and support the internal processes of the People Operations area, ensuring organization, accuracy, and a smooth experience for all team members. You will play a key role in representing and strengthening Stayforlong’s culture in the office, fostering a positive, organized, and collaborative environment.
We’re looking for someone methodical, proactive, and detail-oriented, who wants to grow their career in a dynamic and tech-driven environment. Rather than focusing on payroll execution, your role will center on coordination, service, and continuous improvement—working cross-functionally with different teams and contributing creative solutions that enhance both efficiency and the employee experience.
👩💻 Employee Administration
Keep employee records up to date in Drive and Factorial.
Prepare and archive employment documents (contracts, annexes, certificates, updates…).
Coordinate with the external payroll provider for hires, terminations, and contract changes.
Ensure all employee documentation is accurate, organized, and properly filed.
💬 Employee Support
Be a supportive and solution-oriented point of contact for the team.
Manage the People Operations inbox, responding with empathy and agility.
Collect monthly updates (extra hours, sick leaves, Cobee data, etc.) for payroll processing.
Coordinate with the external provider and review information before monthly closing.
🚪Onboarding & Offboarding
Prepare documentation, access, and tools for new hires (Gmail, Slack, Factorial, Cobee, Akiles, etc.).
Coordinate welcome schedules with Hiring Managers and teams.
Manage registrations for Health & Safety (PRL) training.
Ensure completion of the offboarding checklist.
⏱️ Time & Attendance Management
Validate time tracking, work calendars, and special leave requests.
🩺 Health & Safety
Coordinate and manage our external Health & Safety provider.
🎉 Employee Engagement & Culture
Act as an ambassador of Stayforlong’s culture in the office.
Support internal events, global meetings, and cross-team activities.
Propose ideas to boost well-being, connection, and collaboration.
Assist with internal surveys (eNPS, engagement, pulse surveys) and follow-up actions.
🏢 Office Management
Oversee daily office operations: supplies, orders, and vendor coordination (water, coffee, alarms, etc.).
Support office budget tracking and invoice control.
Contribute ideas to enhance the office environment and on-site experience.
💻 Internal IT Support
Provide basic support for internal tools and equipment.
A background or ongoing studies in Labor Relations, Psychology, Business Administration, Law, Communication, or Human Resources.
Curiosity to learn how the People area operates within a tech environment.
Interest in technology and AI as tools to optimize processes and automate tasks.
A data-driven mindset — you enjoy analyzing information and suggesting improvements.
Great organizational skills, attention to detail, and a methodical approach.
A collaborative spirit and enthusiasm for working cross-functionally toward clear, measurable goals.
Proactivity, problem-solving skills, and a creative mindset to propose new solutions.
A positive attitude toward on-site work and contributing to a great office culture.
Familiarity with, or willingness to learn, tools such as Gemini, Notebook LM, Factorial, Confluence, Google Drive, and Office 365.
A high level of Spanish and English (minimum B2).
